Office Administrator - Job Description Part Time
Ensure the highest standard of service and the best possible member and guest experience by performing a variety of administrative and customer service duties.
Reporting to the Head of Office Administration, this individual works as part of the customer service team to achieve the strategic direction of the DNTC.
Policy & Procedure
Ensure that policies and procedures are complied with to the highest standard of service and member satisfaction.
Work closely with Tennis Professionals to effectively align schedules/lessons.
Take messages for management and tennis professionals and notify via email.
Greet all members and guests as they enter the DNTC, and provide services to new and existing clients.
Responsible for establishing and maintaining professional relationships with all DNTC members, guests and suppliers.
Answer telephone/emails in a consistent, professional and friendly manner.
Demonstrate professionalism with an outgoing, positive and personable attitude at all times.
Promptly respond to management and/or customer inquiries/communications.
Efficiently and accurately process customer transactions using point of sale (POS) system.
Check and update all membership records for currency according to company policy.
Perform member verification and apply guest fees when appropriate.
Contact members when membership expiration is imminent.
Attend regularly scheduled departmental and team meetings.
Meet targets set by Management and/or Head of Office Administration
Implement all aspects of office administration; including: website creation/updates, court bookings, closing and balancing POS system, and customer records.
Record details of inquiries, comments, feedback, and actions taken.
Maintain a clean and organized Welcome Desk environment.
Keep up to date on all relevant information, programs, services, pricing and promotions.
Solicit sales of programs and/or additional services.
Monitor and assist with general cleaning including front-desk area, washroom/change room and tennis courts/patio.
Perform other Welcome Desk related duties as assigned by management.
Must be contactable via cellphone/text whenever facility is open.
Must be reliable and punctual.
Must have strong computer skills, and social media experience.
Based on Experience, knowledge of tennis is an asset - 10-18 hours per week.
This position consists of evenings and weekend work, specifically the following shifts:
Thursday evening 4:30-10 pm
Friday evening 4:30-9/10 pm
Saturday morning 8-3 pm
Saturday evening 3-9 pm
Position to start September 8 2017. Approximately 8-10 hours of training will be required before this date.
